When an agency issues a firearm to an officer, the agency assumes three responsibilities. First, the agency must track the firearm in accordance with the U.S. Department of Justice (DOJ) rules and State specific requirements. Second, the agency is responsible for maintaining the firearm in accordance with the manufacturer's guidelines to ensure a safe and operable firearm. Third, the agency must provide training and, most important, proof that learning occurred and the officer met the qualification standards either set by the agencies State, agency policy, or both.
These responsibilities are typically managed using paper forms, spreadsheets, notebooks, outdated software applications, or using a record management system (RMS) asset management module. All these methods require manual data entry which can lead to typos, duplication of information, and inaccuracies.
